The answer, after two weeks of spreadsheets, was to rent the furniture instead of buying it. A rent to own furniture pa agreement put four desks, four task chairs and a meeting table into our Monroeville office eleven days after I signed the lease, and none of it came out of the payroll account. I run a six person agency that spent its first six years in a spare bedroom. The lease was signed on a Tuesday. Three hires had start dates inside thirty days, and the office at that point was a router, a folding table and about nine hundred square feet of bare carpet.
A Signed Lease Started A Thirty Day Clock
Thirty days sounds generous until you price it out. I built the list: four sit-stand desks, four chairs that would not wreck somebody’s back by March, a table six people could sit around, two filing cabinets and a couch for the corner nobody would admit was for naps. Bought new, the quotes came back somewhere between eleven and thirteen thousand dollars. Say twelve thousand as the working number. That was roughly a month of payroll for three people I had already promised jobs to, and payroll is not a bill you can postpone. Used office furniture was the obvious dodge, so I spent a Saturday driving to two liquidation warehouses outside Pittsburgh to look at it. What I found was either priced like new or held together by optimism. The cheapest furniture is the furniture you do not pay for all at once. The question quietly stopped being what to buy and became how to pay for it.
If the furniture will comfortably outlast the lease and the cash is genuinely sitting idle, buy it. If either half of that is untrue, renting usually wins, and for a first office neither half was true for me. That is the whole rule I use now, and it fits on an index card.
Seating Arrived Before The New Hires Did
Delivery came nine days before the first start date, which is still the part I find slightly unreasonable. Two people carried in the desks, set the chair heights, and left. The agreement started at ninety nine cents, and the monthly figure after that read more like a phone bill than a capital expense. Ownership at the end of the term is on the table if we want it, and so is handing the whole lot back if the agency shrinks instead of grows.
There is a second reason renting made sense for a ground floor suite, and it took a wet spring to make me notice. The National Weather Service office covering northern Indiana recorded 3 to 6 inches of rain over five days in early April 2026, from March 31 to April 4, enough to send rivers over their banks and put water into buildings that had been dry for years. Our suite sits at street level off a lot that drains slowly after a storm. Twelve thousand dollars of owned furniture standing on that carpet is twelve thousand dollars of exposure I would be carrying myself. What I honestly cannot tell you is how much that risk is actually worth pricing, because nobody publishes a figure for how often a small leased office takes on water, and no insurer I have asked breaks it out either.
Furnish The Office Without Draining Payroll
Talking to other owners in the same spot, the pattern that turns up again and again is that the build out budget goes on the visible things and the chairs come last. Seating is what everyone underestimates. A rent to own furniture pa agreement is not the right answer for every office, and if you are holding twelve thousand dollars that is doing nothing, buying outright is cheaper across five years. What renting does is decouple the calendar from the bank balance, so the hire date sets the schedule instead of the deposit clearing. Our three started on time, at real desks, and payroll cleared on the fifteenth with nothing dramatic attached to it.
Eleven days from signature to a furnished office is not a boast about us, it is just what the arrangement makes possible. The money that would have become furniture is still working inside the business, which is where it does the most good in year one. If we double, we add desks under the same agreement, and if we do not, the furniture goes back and the office gets smaller with us.
